Account Application Form CompetitionCongratulations to Solander Blue Fin Partnership, the successful winners of our second and final Account Application Form Competition draw. Ken Munro, Financial Controller of Solanders, recently purchased multiple registrations of our Easy Payroll software to use in their group of companies. Ken found the setup and use of Easy Payroll very easy, even though it provides all the details required to act as a management tool as well as a pay system. Ken joined Solanders 19 months ago after 15 years at West Yates, Chartered Accountants, where he used several Rees software applications and found them all easy to use. When Solanders needed new payroll software, Ken knew that Rees software was easy and reliable, and provided excellent support. Training roomOur training room is underway and has been put to good use already.
We can offer industry-specific, modular-specific (e.g. Job Costing), or business-specific training to suit you and your business. Training will be available for various time lengths ranging from two hours to full-day sessions; morning, afternoon, evening, or Saturday morning times are available to ensure a time convenient for your business commitments.

Year 2000 updateAs you will be aware from previous newsletters, ReesEasy and Easy Payroll software systems are year-2000 compatible. However Easy Billing, Easy GST/Cashbook, Easy Invoicing, Easy Estimating, Easy Panel & Paint, Easy Timber Billing, and Easy Company Returns all need a program update. These program updates are now available and over the next week, every user of these systems, with faxes, should receive a fax detailing the requirements to get a program update. If you have not heard from us in the next week, then please contact our offices for details. What is the difference between a Cashbook and a General Ledger?A Cashbook records all transactions that go through your bank account (i.e. cash transactions). The Cashbook records all deposits, cheque payments, automatic payments, bank charges etc, as they appear on your bank statements. A Cashbook does not take into account what you are owed or what you owe others, only what you are paid and what you have paid. The Cashbook balance is the net difference between your monies banked and your monies spent; this may have absolutely no bearing on the profitability of your business. A General Ledger records all financial transactions in your business: your sales, the cost of these sales, stock on hand, expenses, and purchases. A General Ledger will show you your monthly/yearly profit (or loss) result, like you currently get from your accountant. The General Ledger will read your invoice and stock files to establish your sales and theoretical cost of sales at the completion of each month, and record this as income and expenses in your financial accounts. Creditor purchases are also read into the General Ledger when they are completed for the month. The Cashbook transactions for the month are read into the General Ledger at the end of the month as well. This means that the General Ledger module of ReesEasy ensures that you do not have to enter your data twice --it simply reads your data from the selected areas, and places it in the appropriate place in your General Ledger. From this your profit (or loss) is calculated -- it has nothing to do with whether you have been paid for the sales you have made, or whether you have paid your creditors/suppliers. Often businesses add extra information into the General Ledger that is not held in the other ReesEasy modules, information such as a standard journal to account for some larger expenses that a business normally incurs once a year, such as insurance premiums, ACC levy etc, and non-cash expenses such as depreciation. General Ledgers add very little work for your office, because ReesEasy General Ledgers are relatively simple and provide your business with a monthly profitability figure which is vital in managing your business. At the end of your financial year, your accountant doesn't have to re-enter your work, but can work from your own financial accounts, adding the final adjustments and taxation entries -- resulting in your accountant having more time to offer you business advice and planning strategies.
